About onboarding

Welcome to the Onboarding page. This page outlines the steps necessary to ensure an effective onboarding for new employees and students in the team.

The page is divided into two sections:

  1. A guide for new employees and students — everything to do during your first weeks
  2. A supervisor’s guide — how to prepare for a smooth start and a soft landing

A note for new team members. Some of the links and systems mentioned below require an Amsterdam UMC account. You will receive this account as part of your onboarding, so it is normal if some resources are not accessible before your first day.

Each section below follows the same structure to make the onboarding process easy to follow.

Access to buildings and systems

Amsterdam UMC account

Your supervisor will ask you to complete the necessary forms and provide a copy of your ID/passport.

Your Amsterdam UMC account is required for access to various buildings, systems, and internal resources.

Building access

Once your Amsterdam UMC account is ready, you will receive instructions by email from the ANW secretariat.

  • Pick up your Amsterdam UMC staff card at the VUmc hospital Service Point (floor -1).
  • Specifically mention that you need access to the O2 Lab building.
  • After receiving your staff card, visit the VU Main Building (De Boelelaan 1105).
  • Go to room KC-06, located in the basement near the security desk.
  • Have your staff card encoded for O2 access.

Tip. Check the introductory email from the secretariat for the most up-to-date instructions and opening times.

Helios server account

If you will be working with data or analyses on the Helios server, you will need a Helios account.

See the Server page for instructions on obtaining access and using the server.

You can download MobaXterm, which can be used to connect to the server, from the MobaXterm website.

Training

Mandatory training

Complete your required e-learnings and MijnHR Bekwaamheden (Mandatory Skills).

See the instructions provided by the secretariat in your introductory email.

Ask your supervisor if you need to complete a GCP-light (Good Clinical Practice) course. More information can be found here: Amsterdam UMC SharePoint.

Server introduction

If you will be working on the Helios server, ask your daily supervisor to give you a short introduction to the server.

This should cover:

  • How to access the server
  • Where project data is stored
  • How to run analyses
  • Important do’s and don’ts
  • Data security and responsible use of the server

You can find more information about running analyses and the available software on the Running analyses page.

Project-specific training

Discuss any additional training requirements with your daily supervisor.

If you will be working with patients, you will need to complete Good Clinical Practice (GCP) training. More information and registration can be found on the Amsterdam UMC SharePoint.

The department also has a DataCamp license for e-learning on statistical software and coding. Discuss access with your daily supervisor if this is relevant to your project.

Lists & Invitations

Make sure you are added to the communication channels you will need during your time in the team.

  • Team meeting email list — ask Eva Oostra to add you.
  • Teams channel — ask your daily supervisor to add you.
  • NP Signal group — ask your daily supervisor to add you.
  • NP interns Signal group — ask a fellow intern to add you.

Tip. It is worth arranging these during your first few days so you do not miss team meetings, announcements, or informal communication.

Other

Explore the hospital

One of the less official but more useful parts of onboarding: explore the hospital and learn your way around.

You can even explore the underground tunnels between the hospital buildings. ;)
